Appointment recovery workspace
Example ready. One opening, no requests, no new bookings.
Existing patients.
Appropriate opportunities.
Permission first.
Clear communication.
A patient request.
A staff-confirmed appointment.
A cancellation leaves more than an empty slot. It leaves a team deciding who to contact, what fits, and how to follow through. Aptiva brings that proposed workflow into one place.
Surface available time and match it against practice-defined visit requirements, provider availability, and patient preferences.
Recover cancellationsCoordinate appointment-related outreach with existing patients whose messaging permission has already been recorded.
Reconnect appropriatelyKeep invitations, patient replies, staff review, and appointment outcomes connected instead of scattered across notes.
Simplify repeat bookingThe proposed process is simple. The important checks stay in place.
Start with an opening. Review visit type, duration, provider, availability, and recorded consent.
Offer an appointment opportunity through clear, consent-based customer-care messaging.
A YES requests the time. Staff confirm availability and approve before an appointment is recorded.
A useful workflow should know when to stop, ask, or hand the conversation to a person.
Our messaging approachMissing consent or an opt-out means the outreach should not go ahead. An existing patient record is not consent on its own.
Patient replies create requests, not guaranteed appointments. Staff review and a fresh availability check come first.
The prototype does not offer medical advice or guess at unclear replies. Those conversations belong with qualified staff.
Designed for independent dental practices looking for a more deliberate way to manage existing patient demand and open appointment time.
Evaluate actual appointment outcomes—not just the number of messages sent.
Give schedule-recovery work a repeatable process with clear staff oversight.
Keep openings, replies, and handoffs organized around the next action.
Where the product stands, how it is intended to work, and what comes next.
Not yet. Aptiva is in development. The current sandbox demonstrates a workflow with synthetic data. Production integrations, appropriate agreements, security controls, and operating processes still need to be established before real patient use.
No. The concept is designed to work around the practice’s existing source schedule, not replace it. Integration options need to be validated with practice teams and software vendors; no live integration is claimed here.
No. The example runs entirely in your browser. The invitations, responses, and bookings are fictional. It does not contact patients or connect to a live calendar.
Each participating practice will need to obtain and retain a patient’s express written consent for that practice’s appointment-related messages before messaging begins. Our SMS Program describes the proposed disclosures, enrollment, STOP, and HELP process. This website does not enroll patients in SMS.
We discuss the practice’s scheduling process, recurring gaps, current systems, consent process, and the measures that would make a limited pilot useful. A conversation does not commit either side to a purchase or guarantee access to a pilot.
No. Please use business-contact information only. The inquiry tool below prepares an email draft on your device; it does not submit information to this website. Do not include patient names, clinical details, or other medical information.
Help shape an appointment workflow around what your team actually needs. Start with a conversation—not a long implementation.
